Case Study: A Pharma Company’s Digital Journey From Training Delivery to Training Assurance with TORK

In regulated industries such as pharmaceuticals, training is not merely an HR activity — it is a compliance-critical function. For Indoco Remedies, the challenge was not conducting training, but authentically validating trainer and trainee participation and seamlessly linking physical classroom sessions with their enterprise learning ecosystem, including VLMS and SAP SuccessFactors.

To address this, Indoco adopted a facial recognition–based training attendance system, designed specifically for on-the-job training and regulatory scrutiny.

The Challenge: Training Compliance Beyond Manual Attendance

Indoco Remedies runs structured, pre-scheduled classroom training programs managed through its Virtual Learning Management System (VLMS). However, ensuring training attendance validation presented growing challenges:

  • Manual attendance methods are vulnerable to proxy presence
  • Limited ability to conclusively validate trainer and trainee identity
  • Disconnection between physical training sessions and digital learning records
  • Post-session data reconciliation increases audit risk
  • Infeasibility of personal mobile-based attendance in controlled training rooms
  • Requirement to validate only VLMS-scheduled sessions, excluding ad-hoc or online meetings

The need was clear:

A real-time, tamper-proof, non-intrusive validation mechanism that integrates seamlessly with the existing VLMS.

While Indoco leveraged SAP SuccessFactors and VLMS for structured learning governance, validating physical on-the-job and classroom training remained a gap. The absence of real-time trainer and trainee authentication at the training venue meant that digital learning records still relied on manual confirmation, increasing compliance risk in audits.

Rethinking Attendance: From Mobile Check-ins to Classroom Validation

Instead of deploying a conventional attendance app, Indoco and Softweb redefined the approach.

TORK was implemented as an AI-based training attendance validation system, leveraging IP cameras installed in training rooms or arenas. Attendance was no longer a manual action — it became a real-time biometric validation process.

This shift transformed TORK from a generic tool into a facial recognition training management system, purpose-built for classroom-based training.

The Solution: IP Camera–Driven Training Attendance Automation

How the System Operates

  1. VLMS-Integrated Scheduling
Training sessions are pre-scheduled in VLMS and synced automatically, ensuring coverage only for approved programs.
  2. Biometric Face Registration
Trainers, trainees, and contract participants undergo a one-time facial registration process conducted by authorised users.
  3. Real-Time Validation via IP Cameras
Entry into the training room triggers facial recognition–based validation, authenticating the trainer’s and trainee’s presence instantly.
  4. Secure Data Synchronisation
Attendance data syncs over Wi-Fi to the central server without manual intervention.
  5. Automated Content Association
Once attendance is validated, training content is automatically uploaded and mapped within the VLMS.
  6. Controlled Data Export for Audits
Data is exported strictly in formats defined by the Indoco team, supporting compliance and audit workflows.

Enterprise System Alignment

TORK was aligned with Indoco’s existing learning and HR landscape, ensuring that validated training attendance flowed cleanly into VLMS and could be referenced alongside SAP SuccessFactors learning records. This ensured consistency between physical training participation and enterprise learning governance systems — without altering core SAP workflows.

The Impact: Measurable Gains in Compliance and Confidence

Training Compliance Automation

The facial recognition attendance for classroom training eliminated proxy attendance and manual corrections.

Audit-Ready Validation

Each session now carries verified proof of who trained, who attended, and when — strengthening pharma training compliance management.

Seamless Physical–Digital Continuity

Physical attendance is directly linked to digital learning records, closing gaps between classroom delivery and system documentation.

Zero User Friction

Trainers and trainees no longer interact with devices, apps, or registers — validation happens passively through IP cameras.

Scalable Across Locations

The automated trainer–trainee validation solution can be replicated across training rooms and facilities with minimal change effort.

✔ Enterprise Learning Governance

Training validation now aligns with SAP SuccessFactors and VLMS records, strengthening governance, audit traceability, and management confidence across the learning lifecycle.

Softweb’s Innovation: Designing Beyond a Single Use Case

This implementation reflects Softweb Technologies’ broader innovation philosophy — designing systems that adapt across industries and functions.

While TORK was customised here as a training attendance validation system, the same facial recognition and data integrity framework also powers:

  • Payroll-linked attendance automation, where verified presence flows directly into wage calculations
  • Large-scale workforce validation in mining and industrial environments, where accuracy, location assurance, and auditability are mission-critical

By reusing core AI capabilities across HR, payroll, learning, and industrial operations, Softweb builds platforms that are context-aware, scalable, and future-ready — without forcing one-size-fits-all workflows.

SAP SuccessFactors Integration: Enterprise-Grade Learning Continuity

A critical success factor of this implementation was Softweb Technologies’ ability to integrate TORK with Indoco’s enterprise HR and learning landscape, including SAP SuccessFactors. While VLMS remained the primary system for training scheduling and content management, SAP SuccessFactors served as the broader learning and workforce governance platform.

Softweb ensured that biometrically validated training attendance could be aligned with SAP SuccessFactors learning records, preserving data integrity, audit traceability, and enterprise compliance. This integration was achieved without disrupting existing SAP workflows, demonstrating Softweb’s capability to design secure, interoperable solutions that operate seamlessly across SAP and non-SAP environments.

At Indoco Remedies, TORK evolved into a digital training validation platform.

Through facial recognition–based attendance, IP camera integration, and VLMS connectivity, Indoco achieved a reliable, compliant, and audit-ready training ecosystem.
